Group Finance & HR Solutions (FHS) as a division takes care of the digitalization of the business processes in the areas of accounting, procurement, financial consolidation, taxes, people & culture, and statutory reporting.

We’re looking for an exceptionally organized and proactive Executive Assistant for a part-time to support our Division Head. In this highly visible role, you will be the driving force behind seamless calendar management, strategic scheduling, and high-level coordination across senior leadership. Whether it’s securing time with board members or navigating last-minute changes, you stay one step ahead and keep everything running seamlessly. You turn complexity into clarity.

Profil

You check these boxes:
  • Completed commercial education, experience with office management and/or as an executive assistant or comparable qualification
  • Fluency in German and English
  • Confident use of MS Office (Outlook, Excel, Teams and Sharepoint)
  • Excellent organizational and time management skills, structured way of working
  • High level of loyalty, reliability and a friendly, clear communication style
  • Resilient, flexible and team-oriented
  • Ability to operate with absolute discretion and handle sensitive information
  • Strong sense of ownership, responsibility and service orientation
  • The position is part-time, you need to be available 15-20 hours per week, the position is also suitable for a student

Aufgaben

What to do:
  • Own and manage the Division Head’s complex and ever-changing calendar with precision and foresight
  • Coordinate and prioritize meetings across multiple stakeholders, including meeting rooms and internal resources
  • Organize and support larger division-wide meetings and sessions
  • Take responsibility for end-to-end event management including scheduling, logistics and budget (Christmas parties, offsite and teambuilding activities)
  • Support daily and monthly administrative and operational tasks of the whole division (physical and digital mail, travel expenses, time bookings and attendance approvals)
  • Keeping our homebase an organized and welcoming space

Was macht ein As­sis­ten­t*in?

Assistenten*innen sind vor allem für kaufmännische, administrative und organisatorische Aufgaben zuständig. Sie schaffen - kurz gesagt - die Voraussetzungen dafür, dass ihre Vorgesetzten und die Mitarbeiter*innen eines Betriebes gute Arbeit leisten können: Sie bereiten Unterlagen vor, treffen Terminvereinbarungen, organisieren Besprechungen und fertigen Protokolle dieser Besprechungen an.
